Group sessions and appointments are a common occurrence for some practitioners, to invoice a group session you will need to follow the below steps. 


Generating the invoices individually :: 


  1.  You will need to select the appointment on the calendar so that the below screen opens up.
     
  2. Once you have selected the appointment you will need to select each contact individually and then click on generate invoice. 
    Please Note :: If you bill monthly or weekly consolidated invoices you can select the last appointment in the series for the patient and click generate consolidated invoice as per the normal invoicing process, it will generate all un-invoiced appointments including the group appointments. 
  3. Once you have generated the invoice, you can select the appointment and you will see that the appointment color has changed to either yellow (approved) or orange (awaiting approval). 
  4. Click on the clients name and the below screen will open up, Clicking on the Invoice number will take you to the Invoices tab from where you can approve invoices and assign payments.



Generating the invoices simultaneously ::


smeMetrics has the option to invoice all, this is a useful feature for group appointments as it saves time on the invoicing, to invoice all appointments in a group follow the below steps. 


  1. On your calendar screen click on the invoice all button. 
  2. Once you have selected invoice all, the below screen will open up, here you can select the invoice date range "Invoice Date" is the date reflected on the invoice " Lower Limit Date" is the date that you want the system to generate invoices from. In this case we are looking for all appointment not invoiced between the 01-06-2021 and the 15-06-2021. 

    You also have the option to add the pre auth numbers and indicate if the session/s were in hospital or not and can auto mail the invoices. Once you are happy with the appointment dates you can click on "invoice all" and all appointments in that range will be invoiced. 

    If you have selected auto mail all invoices will be mailed, if not you will need to go to billing/invoices and mail the invoices from there. 

  3. Once you have generated the invoices, you can select the appointment and you will see that the appointment color has changed to either yellow (approved). 
  4. Click on the clients name and the below screen will open up, Clicking on the Invoice number will take you to the Invoices tab from where you can approve invoices and assign payments.
